Role Summary
The Executive & Personal Assistant is a highly trusted team member responsible for bringing structure, clarity, and execution to a fast-moving, ideas-driven environment. This role combines traditional executive assistant responsibilities with project coordination and personal administrative support.
The role is ideal for someone who enjoys creating order, managing logistics, and helping turn ideas into organized execution. The CEO often works through ideas verbally; the assistant helps translate those conversations into structured follow-up, coordination, and implementation.
Please note that this is a part time (20 hours per week) hybrid position that involves both remote work and some onsite work within the Vancouver area.
Core Responsibilities
Own and manage the CEO’s calendar across multiple businesses, including scheduling meetings, prioritizing requests, and protecting time for deep work
Keep the inbox organized by triaging messages, drafting responses, flagging priorities, and ensuring timely follow-ups
Support day-to-day operations by pulling information from tools like Google Drive and Notion, summarizing key details, and sharing with the right people
Coordinate with vendors, contractors, and team members to keep projects moving forward
Track deadlines, action items, and next steps—making sure nothing slips through the cracks
Organize and maintain project files, documents, and key information so everything is easy to find
Help locate and share materials like drawings, leases, and contracts as needed
Set up simple systems and trackers to keep work organized and running smoothly
Book and manage travel, including flights, hotels, transportation, and detailed itineraries (adjusting plans as things change)
Support personal logistics like scheduling appointments, managing reservations, planning personal travel, and handling gifting
Coordinate household needs, including vendors, maintenance, and general home logistics
Run occasional local errands (returns, pickups, purchases) as needed
Key Requirements
5+ years experience in executive support, operations coordination, or similar roles
Exceptional organization and attention to detail
Strong written communication skills
Comfortable locating and synthesizing information from documents
Strong follow-through and project coordination ability
High discretion and professionalism
Able to work independently and take initiative

Reports to: CEO
Schedule: ~20 hours per week. Flexible schedule with weekday availability. Combination of remote work and occasional in-person support in Vancouver.
Compensation Range: $45-50/hour
